Terms and Conditions

The following terms and conditions apply to all room hire bookings at The Pavilion, Stormont.

Conferencing Room Hire

  • A customer can make a provisional booking by telephone or email. This booking must be confirmed within 7 days otherwise The Pavilion, Stormont will assume the booking is cancelled.
  • If a customer cancels a rooms post confirmation the following process will apply:

Room Hire Cancellation Date % of total price
  On confirmation & up to 14 days prior to the event 25%
  Within 14 days of the event 75%

  • It is the customer’s responsibility to notify The Pavilion, Stormont 1 week prior to the event with final numbers attending the event and any other booking requirements.
  • All room hire invoices are to be settled within 14 days of the invoice date. All payments for room hire should be made payable to NICSSC. Invoices can be paid by, cash, card, cheque or BACS.
  • Late payments will incur 2.5% interest per month on outstanding balances.

Social Room Hire

  • All social bookings must be made by a member and this member must be in attendance for the duration of the event.
  • All non members attending The Pavilion, Stormont, must sign in at reception.
  • All catering must be placed 1 week prior to the event and is payable on the date of the booking/event.
  • The Pavilion, Stormont, reserves the right to object to the employment made by any customer (photographer, band, musician or any other person in connection with the function/event)
  • No alcohol can be brought onto the premises unless for the use of ballot prizes or presents. Anyone found consuming alcohol that has not been purchased on the premises will have it confiscated and will be asked to leave the premises.
  • No person should be found purchasing alcohol for a minor, any persons found doing so may be asked to leave the premises.
  • All entertainment must cease when the bar closes, unless otherwise agreed with the management team.
  • Last orders at the bar will be 10.45pm, unless in the event of an application for a late licence when last orders will be 12.30am, providing the late licence requirements have been met. This will be at the discretion of the Duty Manager on shift.
  • An application for a late licence requires a minimum of 80 people attending the event.
  • A late licence application is chargeable at £15 and must be requested 4 weeks prior to the event. This charge is payable on the date of the booking.
  • Pavilion staff reserve the right to refuse to serve any customer who is or appears to be intoxicated.

General House Rules

  • No signage or decoration to be erected without prior consent. Any damaged caused by unauthorised signs or decorations will incur a charge to the customer.
  • Table confetti is not permitted
  • The customer is responsible for any damage caused to the allocated rooms or the furniture/equipment within those rooms. Any damage caused will be charged to the customer.
  • The Pavilion, Stormont, will endeavour to assist clients with storage of equipment etc. However we do not accept liability for the loss or damage equipment.
  • In the event of a fire, the activation of The Pavilion, Stormont’s fire alarm is indicated by an audible warning throughout the building. In the event of a fire alarm all people will leave the building by the nearest fire exit and make their way to the fire assembly point at the front of the building. Evacuation procedure will be distributed to event organisers.
  • Catering must be ordered in-house, no catering can be brought in externally
  • Catering orders, numbers and special request must be confirmed 1 week prior to event.
